PROGRAM COORDINATOR  

Purpose Statement:

 

The job of Program Coordinator is done for the purpose/s of improving student achievement, of underrepresented students, by planning, organizing, coordinating, implementing, and evaluating strategies, activities and services associated with the assigned program (e.g. College & Career Readiness, Vocational Services). Disseminating information to appropriate parties; identifying and referring students for college/career or vocational assessments.  Coordinating school and community work-based learning opportunities; and providing awareness to employers, teachers, parents, students, and service organizations.

 

This job reports to Principal

 

Essential Functions

 

  • Coordinates the development of career awareness and support systems for the purpose of exploring activities as part of the career counseling process.
  • Implements the program (e.g. College & Career Readiness, Vocational Services, etc), Develops goals, objectives, work plans, and timelines with administrative supervision. Coordinates activities between the assigned school and the business and government communities.
  • Cultivates productive relationships with staff, employers, agencies and organizations (e.g. YTP program, VR counselor, SSI Administration, Jobs Counsel, Mental Health, universities, etc.) for the purpose of ensuring effective services/programs for students.
  • Provides students and parents with post-secondary information and guidance regarding job training, careers, college participation, and scholarship opportunities as appropriate.
  • Develops a variety of materials (e.g. community/school based training materials, parent education and/or training, process in transition planning, system guidelines, forms, transition curriculum, grants, etc.) for the purpose of conveying laws, eligibility requirements, and availability of services related to the program.
  • Facilitates communication between families, school staff, outside agencies for the purpose of evaluating situations, solving problems and/or resolving conflicts.
  • Collaborates with teachers and/or counselors to identify students for vocational assessment within the school and agencies for the purpose of facilitating implementation of recommendations by communicating and interpreting results with parents and teachers.
  • Maintains various materials (e.g. training materials, assessment results, referrals, etc.) for the purpose of ensuring availability of required information and/or documentation.
  • Monitors various activities related to program (e.g. job coaching activities, student progress, college/career transition, etc.) for the purpose of collecting information for use in evaluating and/or modifying program.
  • Oversees analysis of job tasks related to vocational services or college and career preparation and the set up of data systems for the purpose of monitoring the effects of program.
  • Participates in a variety of meetings (e.g. staff meetings, transition planning meetings, IEP’s, inter-agency committees, employment network, college applications, ) for the purpose of conveying and/or gathering information required to perform functions.
  • Prepares written materials (e.g. reports, training materials, memos, handouts, etc.) for the purpose of providing written support and/or conveying information.
  • Provides a variety of college/career or transition services (e.g. arranging for work experience and client transportation, job site coaching, job development, crisis intervention, IL skill training, social/recreational training, etc.) for the purpose of ensuring the success of students in the program.
  • Provides information to Special Education teachers, employers or colleges for the purpose of assisting them in understanding the needs for self-advocacy and self-determination if applicable.
  • Trains staff to work with students in a wide variety of job skills (e.g. life skills, independent living, transportation issues, job development and coaching, etc.) for the purpose of providing appropriate support for students receiving services if applicable.

Other Functions 

  • Assists other personnel as may be required for the purpose of supporting them in the completion of their work activities.
  • Performs other related duties, as assigned, for the purpose of ensuring the efficient and effective functioning of the work unit.

 

Job Requirements: Minimum Qualifications

 

SKILLS are required to perform multiple, technical tasks an occasional need to upgrade skills due to changing job conditions.  Specific skills required to satisfactorily perform the functions of the job include: communicating with persons of varied cultural and educational backgrounds; preparing and maintaining accurate records; planning and managing praograms/grants; and operating standard office equipment including pertinent software applications.

 

KNOWLEDGE is required to perform basic math, including calculations using fractions, percents, and/or ratios; read technical information, compose a variety of documents, and/or facilitate group discussions; and analyze situations to define issues and draw conclusions. Specific knowledge required to satisfactorily perform the functions of the job includes: concepts of grammar and punctuation; organizational skills; stages of child development; parent education issues, post-secondary options; codes, policies, laws and regulations related to vocational training for special needs populations; and principles of directing and motivating students.

 

ABILITY is required to schedule a significant number of activities, meetings, and/or events; often gather, collate, and/or classify data; and use basic, job-related equipment. Flexibility is required to independently work with others in a wide variety of circumstances; analyze data utilizing defined but different processes; and operate equipment using defined methods. Ability is also required to work with a significant diversity of individuals and/or groups; work with data of varied types and/or purposes; and utilize specific, job-related equipment. In working with others, independent problem solving is required to analyze issues and create action plans. Problem solving with data frequently requires independent interpretation of guidelines; and problem solving with equipment is limited. Specific abilities required to satisfactorily perform the functions of the job include: communicating with diverse groups; maintaining confidentiality; dealing with changing priorities; working with frequent interruptions; working as part of a team; working with detailed information;

directing and motivating students; managing and motivating staff; meeting deadlines and schedules; and working effectively with students, staff and community.

 

 

Responsibilities include: working independently under broad organizational guidelines to achieve unit objectives; directing other persons within a small work unit; and tracking budget expenditures. Utilization of significant resources from other work units is routinely required to perform the job's functions. There is some opportunity to impact the Organization’s services.

 

Working Environment

 

The usual and customary methods of performing the job's functions require the following physical demands: occasional lifting, carrying, pushing, and/or pulling; some stooping, kneeling, crouching, and/or crawling; and significant fine finger dexterity. Generally the job requires 75% sitting, 5% walking, and 20% standing. This job is performed in a generally clean and healthy environment.

 

Experience:

Job Related Experience within Specialized Field is preferred developing programs/activities training and supporting adults and students.

 

Education

Bachelor’s degree or any combination of targeted job related education and/or experience that meets organization’s prerequisite requirements.
