Job Description
The Specialist assists District program managers and directors by providing high level, data, budgeting and clerical support. Specialist works independently to research, extract, and report information that satisfies the recordkeeping and planning needs of District programs.
ESSENTIAL DUTIES AND RESPONSIBILITIES
Essential duties of this position include the following. Employees in this position perform some or all of the following tasks. Other duties may be assigned.
- Researches, creates, inputs, formats, organizes and edits relevant data as needed or requested and prepares in a usable format.
- Completes a high volume of complex computer work, using District computer programs, to input a high volume of data with speed and accuracy, including confidential data, in an environment with constant interruptions.
- Provide reports to a wide variety of audiences for the purpose of accurately communicating information.
- Assists assigned administrator(s) in coordinating a variety of programs and/or activities (e.g. task assignments, meetings, site in-service day activities, workshops, acquisition of textbooks, travel and accommodations, ) for the purpose of ensuring availability of facilities and/or equipment and delivering services in conformance with established guidelines.
- Attends meetings as assigned for the purpose of taking minutes, conveying and/or gathering information required to perform functions.
- Communicates with other departments, buildings and/or agencies for the purpose of coordinated, effective and efficient
- Compiles data from a variety of sources for the purpose of complying with financial, legal and/or administrative requirements.
- Composes a variety of documents for the purpose of documenting events, providing and/or requesting information.
- Coordinates a variety of programs and/or activities (e.g. task assignments, meetings, classroom and site staff coverage, building in-service day activities, workshops, travel and accommodations, ) for the purpose of ensuring availability of substitutes, facilities and/or equipment and delivering services in conformance to established guidelines.
- Maintains databases, documents, files, records, forms, and formats (e.g. administrative records, spreadsheets, all applicable forms for the purpose of providing up-to-date reference and audit trail for compliance.
- Maintains inventories of supplies and materials (e.g. all supplies, equipment repairs) for the purpose of ensuring items' availability.
- Monitors account balances and various documentation (e.g. account expenditures, purchase order documentation, etc.) for the purpose of maintaining accurate records in compliance with accounting and record keeping practices.
- Monitors assigned activities and/or program components for the purpose of coordinating activities and ensuring compliance with established financial, legal and/or administrative requirements.
- Processes documents and materials (e.g. travel, all forms, purchase orders, etc.) for the purpose of disseminating information to appropriate parties for action.
- Researches discrepancies in processes and/or documentation for the purpose of ensuring adherence to appropriate administrative and /or legal guidelines.
- Responds to inquiries from a variety of internal and external parties by phone, letter and/or in person (e.g. staff, parents, students, public agencies, ) for the purpose of providing information, facilitating communication among parties and/or providing direction.
- Screens inquiries of staff, students, parents, the public, for the purpose of taking appropriate action and/or directing to appropriate personnel for resolution.
- Supports assigned administrative personnel for the purpose of providing assistance with their administrative functions.
- Maintains appropriate certifications and training hours as required.
- Complies with applicable District policies and procedures, state, local and federal laws, rules and regulations.
- Interacts thoughtfully and courteously with students, staff and community.
- Attends work regularly and is punctual.
- Attends in-services, trainings, and staff meetings as required.
Other Functions
Performs other related duties, as assigned, for the purpose of ensuring the efficient and effective functioning of the work unit.
QUALIFICATIONS

- Education and/or Experience: Associate’s Degree in related field preferred. Ability to accurately enter and retrieve computerized data. Prior successful experience working with budget and data collection and reporting systems and processes in a school or office setting strongly preferred.

- Ability to communicate fluently verbally and in writing in English. Ability to effectively present information and respond to questions in one-on-one, small group situations to school staff and Board. Ability to verbally respond to common inquiries from staff. Ability to read and interpret documents. Ability to write routine reports and correspondence.
- Ability to add, subtract, multiply and divide in all units of measure, using whole numbers, common fractions and decimals.
- Ability to solve practical problems and deal with a variety of situations where only limited standardization exists. Ability to interpret a variety of instructions furnished in written, oral, diagram or schedule form.
- Advanced knowledge of MS Office, email, internet.. This position requires the ability to gather data from a variety of systems and databases to develop practical and comprehensible reports for the use of program managers and directors.
- Ability to appropriately communicate with administrators, teachers, students and other educational professionals. Ability to exercise good judgment and work in a dynamic environment.
- Certificates as determined by the District Ability to obtain a valid CPR/First Aid card, bloodborne pathogen training, child abuse, sexual conduct and any other District required training.

The work environment is a standard office setting. The noise level in the work environment is usually low to moderate, but occasionally high depending upon student population and activities.
