JOB SUMMARY

 

The Data Specialist/Assessment Coordinator ensures the use and security of the district’s student data and assessment systems. The Data Specialist/Assessment Coordinator assists District Administration in the effective use of technology to build and maintain a data rich student information system that supports student learning and District operations. TheData Specialist/Assessment Coordinator works independently to research, analyze, extract, and report information that satisfies the recordkeeping and planning needs of District administration, schools, and programs. Data Specialist/Assessment Coordinator acts as a liaison with ODE to research, design, and build requirements for the student information system state reporting module. He/she works with CSD Tech. support, building administrators, academic coaches, Building Leadership Teams and individual teachers to ensure system functionality, data accuracy, and data entry compliance.

 

ESSENTIAL DUTIES AND RESPONSIBILITIES

Essential duties of this position include the following.  Employees in this position perform some or all of the following tasks. Other duties may be assigned.

 

District Test Coordination 

  1. Train School test coordinators in the administration of any and all Oregon Statewide Assessment.

  2. Manage all aspects of online testing (State and District required tests).

  3. Manage all aspects of the paper testing (State and District required tests) including ordering, receiving, distributing, and returning materials.

  4. Ensuring district, school and staff compliance with the policies and procedures in the Oregon state Test Administration Manual and any updates provided through the state listserv.

  5. Assist in the investigation of any potential test irregularities or improprieties.

  6. Reports all potential test irregularities or improprieties to ODE.

  7. Provide reports of results to a wide variety of audiences. Serves as an information resource about state report cards and student performance growth.

  8. Monitor student completion of work samples (Math, Writing, Reading, Problem solving), local assessments, and other assessments as needed.

  9. Produce monthly reports for school administrators, district committees, and various other groups on topics including assessments, populations, and attendance.

  10. Conduct program evaluations. This includes reports required by external groups studying outcomes of professional development, as well as programs within the district, about which we want objective analysis of implementation and/or impact. 

Data Specialist

 

  1. Researches, creates, inputs, formats, organizes and edits relevant data as needed or requested and prepares in a usable format for district and building administrators including confidential information to be used in contract negotiations.
  2. Works with Human Resources Department to provide data and reports on staff evaluations and student performance outcomes.
  3. Completes a high volume of computer work, using District computer programs, to input a high volume of data with speed and accuracy, including confidential data, in an environment with constant interruptions.
  4. Provide reports of results to a wide variety of audiences. Serve as an information resource about all student formative and summative data.
  5. Schedule and coordinate the transfer of student information from the CSD to the various systems, ensuring the district’s compliance with data security requirements.
  6. Assist school based personnel in implementing standards and operating procedures established for management of student data.

 General

  1. Maintains appropriate certifications and training hours as required. 
  2. Complies with applicable District policies and procedures, state, local and federal laws, rules and regulations.
  3. Interacts thoughtfully and courteously with students, staff and community.
  4. Attends work regularly and is punctual.
  5. Attends in-services, trainings, and staff meetings as required.

 QUALIFICATIONS

  • Education and/or Experience:  Associate’s Degree in related field preferred.  Ability to accurately enter and retrieve computerized data. Prior successful experience working with testing systems and processes in a school or office setting strongly preferred. Previous experience with children and adults in an educational setting preferred.

  •   Works well with others. Focuses on solving conflict; maintaining confidentiality; listening to others without interrupting; keeping emotions under control; remaining open to others’ ideas and contributing to building a positive team spirit.

  •   Ability to communicate fluently verbally and in writing in English.    Ability to effectively present information and respond to questions in one-on-one, small group situations to students and other school staff. Ability to verbally respond to common inquiries from staff and students. Ability to read and interpret documents. Ability to write routine reports and correspondence.

  •   Ability to add, subtract, multiply and divide in all units of measure, using whole numbers, common fractions and decimals. 

  • Ability to solve practical problems and deal with a variety of situations where only limited standardization exists. Ability to interpret a variety of instructions furnished in written, oral, diagram or schedule form. 

  •   Advanced knowledge of MS Office, email, internet. Ability to proficiently use the following programs strongly preferred:  Blue Bear, MS Word, E-School, Excel, Outlook and Pentamation. This position requires the ability to gather data from a variety of systems and databases to develop practical and comprehensible reports for the use of school administration. 

  •   Ability to appropriately communicate with administrators, teachers, students and other educational professionals. Ability to exercise good judgment and work in a dynamic environment.    

  •   Certificates as determined by the District including meeting current highly qualified requirements under the reauthorized ESEA. Ability to obtain a valid CPR/First Aid card, bloodborne pathogen training, child abuse, sexual conduct and any other District required training.

Specific vision abilities required by this job include close vision, distance vision, ability to adjust focus and peripheral vision.

The work environment is a standard office setting. The noise level in the work environment is usually low to moderate, but occasionally high depending upon student population and activities. The employee is occasionally exposed to wet or humid conditions and outdoor weather conditions. Employee may be exposed to bloodborne pathogens.
